UCC has established comprehensive procedures for course transfers, deferments, and withdrawals to ensure fair and consistent decision-making. These procedures provide a transparent and equitable framework for handling requests, outlining financial implications and refund conditions to support student welfare and administrative clarity.

Course Transfer

Course Transfer refers to the process when a student changes from one course to another within UCC before the completion of the original course. The steps involved are as follows:

  1. Request Submission:
    • Students must submit a written request for transfer using the prescribed Course Adjustment and Deferral Form.
    • Verbal requests are not acceptable.
  2. Approval Conditions:
    • Requests are approved based on legitimate reasons, complete supporting documents, and no outstanding payments or documents for the current course.
  3. Fee Implications:
    • Course fees paid for the current course are not transferable to the next course.
    • The seven (7) working day cooling-off period applies to the new course. If the student withdraws during this period, they are eligible for a refund in accordance with the Refund Policy.
  4. Process and Communication:
    • The Student Support Division reviews the request and submits it to the Head of Department for approval.
    • Upon approval, the student is informed of the outcome within fourteen (14) working days.

Course Deferment

Course Deferment involves postponing the commencement or continuation of a course. The steps involved are as follows:

  1. Request Submission:
    • Students must submit a written request for deferment at least two weeks before the start of the new semester using the prescribed form.
  2. Approval Conditions:
    • The deferment period is capped at one (1) module. Beyond this, the student is treated as a new applicant.
    • Course fees paid for the current course are deferred accordingly and are non-refundable.
  3. Process and Communication:
    • The Student Support Division reviews the request, ensuring all fees are up-to-date.
    • Approved deferments require the student to sign a new Student Contract and pay any necessary fees.
    • The student is informed of the decision within fourteen (14) working days.

Course Withdrawal

Course Withdrawal refers to the termination of a Student Contract, where the student ceases to be a student of UCC. Withdrawals can be voluntary or involuntary:

  1. Voluntary Withdrawal:
    • Initiated by the student for personal reasons.
    • The student submits the Course Adjustment Form via web form, which is reviewed and approved by the Head of Department.
    • A letter detailing the outcome and refund eligibility (if applicable) is issued to the student.
  2. Involuntary Withdrawal:
    • Can occur due to misconduct, poor attendance, outstanding fees, or unsatisfactory academic progress.
    • Dismissal or suspension letters are issued as applicable, detailing the terms and conditions.
  3. Fee Implications:
    • Refunds are processed according to the Refund Policy.
    • Unconsumed paid fees are non-refundable and non-transferable for dismissal or deemed withdrawal cases.
  4. Process and Communication:
    • The Student Support Division handles the withdrawal process, ensuring all steps comply with UCC policies.
    • Students are informed of the decision within fourteen (14) working days.
